Small print
Fees, deposits, and unused sittings
This page applies to briefings, committee packs, consolidation maps, disclosure walkthroughs, quarterly retainers, and extra sitting days. We do not sell goods, subscriptions to software, or shipped products, so those cases are not described here.
Eligibility
A refund is considered when you cancel in writing, when we cannot attend a sitting for a reason on our side, or when we decline to continue because the draft remains too incomplete after we have said what is missing. A change of mind after the bound pack has been delivered is not, by itself, a ground for returning the whole fee.
Timeframe for asking
Write to info@flow-routepoint.digital within fourteen days of the event you rely on (cancellation, postponed sitting, or our notice that we cannot proceed). Use the engagement name and the sitting date.
Full return
The deposit is returned in full if we have not yet accepted the papers, or if we decline the engagement. The deposit is also returned in full if we cancel because a reader is unavailable and we cannot send another before your sitting.
Partial return
If you cancel more than ten working days before the sitting, and drawing has started, we invoice for days already worked at the day rate in the quote and return the rest of the sums received. If you cancel ten working days or fewer before the sitting, the deposit is kept; the remaining balance, if not yet paid, is not charged unless the bound pack has already been printed.
Non-refundable items
Printed copies already bound for directors, courier costs paid for those copies, and a Georgian sitting copy already typeset are not returned as cash. A pre-sitting rehearsal that has already been held is charged as a used day.
Work already started
Reading a draft, marking notes, and drawing pages are work. Once a pencil draft has been sent to you for a factual check, at least half the quoted fee is earned, even if you then postpone the sitting.
Deposits
The quote states the deposit. It is due when we accept the papers. It is credited against the final fee if the engagement runs its course.
Rescheduling
A sitting moved by more than five working days is treated as a new date. If the new date still falls inside our calendar, we redraw only the pages that the new draft has changed, at the day rate, rather than repeating the whole fee. If the new date cannot be met, the cancellation rules above apply.
No-show
If we attend the agreed room or link and the sitting does not take place, the attendance day is charged. The pack remains yours.
Quarterly retainer
A quarter that has not yet received its draft may be ended in writing before that draft is sent; that quarter’s retainer is returned. Once the quarter’s papers have arrived, that quarter’s retainer is earned. Later quarters are not billed.
How a return is paid
Returns go by the same method as the original payment, unless you ask in writing for a transfer to another account in the same name. Georgian bank transfers are the usual path. We aim to instruct the return within fourteen working days of agreeing the amount. Card schemes, if used, follow their own posting times after our instruction.
Processing time on our side
We confirm in writing whether a return is full, partial, or declined within ten working days of a complete request.
Materials
Client papers are returned or destroyed on request after the engagement file period in the privacy notice. That is not a fee refund.
